Do you have proven experience of providing support to senior executives within busy global teams, including the preparation of board packs?

Have you worked in a Company Secretarial department, the legal sector or within asset management?

Are you a self-starter who is highly organised, able to multi-task and prioritise while building excellent relationships?

Do you take pride in working to a high standard?

Do you have advanced Microsoft Office skills, and experience using Diligent or other Board platforms?

Our client is a global business with great opportunities for growth; they are looking for a Team Assistant to provide a wide range of organisational and administrative support to their company secretaries.

What you’ll be doing day-to-day:

  • Providing administrative support to the global Company Secretarial team
  • Diary management for the global Cosec team and global NEDs
  • Coordinating and logging travel and expenses for the global Cosec team and global NEDs
  • Coordinating committee, board and shareholder meetings
  • Organising and delivering meeting materials using board portal software (Diligent)
  • Managing Diligent accounts, user access and signatory authorisation process
  • Providing Diligent Board and Entities support
  • Maintaining records and statutory filings
  • Coordinating Know Your Client (KYC)
  • Maintaining process notes
  • Covering for other team assistants, as required

The skills you need to bring:

  • A strong track record of working as a team assistant within the legal / financial services sector (specifically Asset Management)
  • Advanced expertise in Microsoft Word, Excel, PowerPoint and Outlook
  • Experience using Diligent or other Board platforms (desirable)
  • High attention to detail
  • Excellent interpersonal skills with the ability to communicate clearly and concisely
  • Confidentiality and ability to handle sensitive matters at all times
  • Proactive, and always ready to use initiative and solve problems
  • Composed under pressure
  • Team player who is open, flexible and willing to learn
