Description

A fabulous opportunity to step into a career in corporate events. This City law firm is looking for an enthusiastic administrator who has dipped a toe in events or meeting room management and is now looking to grow their experience. Organisational skills are key along with excellent Microsoft office skills.

Key responsibilities

  • Taking initial enquiries for events and keeping the Master Event Schedule up to date with all event specific information
  • Maintaining event budget spreadsheet
  • Maintaining the team’s venue database
  • Managing and coordinating room bookings for events as well as setting up rooms as required
  • Liaising with support staff such as Catering, Porterage, Audio Visual, Security and Technology
  • Assisting the other members of the team with monitoring RSVPs for events and updating the CRM system accordingly
  • Supporting the Events team with the production of printed materials required for events such as brochures, table plans and menu preparation
  • Checking of attendee lists and production of name badges / dinner place cards / tent cards
  • Meeting and greeting clients as required
  • Updating the events CRM database post event with attendee / cancellation / no show information
  • Coordinating evaluation feedback when required
  • General administrative duties such as coordinating invitation mailings and chasing outstanding responses
  • Attending and contributing to team meetings and meetings related to events, as required

Requirements

  • Candidates for this position will be expected to have worked, or be working, in a similar role within a professional legal services environment
  • Advanced knowledge of Microsoft Office Packages (in particular Word, Excel and PowerPoint)
  • A confident, proactive individual prepared to take a hands-on approach using their own initiative
  • Ability to communicate effectively (written, spoken and presentational), working well within a team
  • Excellent interpersonal and communication skills, written, spoken and presentational
  • Excellent attention to detail and good use of grammar.
  • Active listening skills and demonstrates professionalism in all dealings
  • Excellent organisational skills, with the ability to multi-task, keep calm under pressure and work to tight deadlines
  • Flexibility with hours is necessary when the work of the Firm requires it
